Fair Use Policy

Our philosophy: we celebrate your growth, we don't charge you for it. Every Untap plan includes unlimited usage. This Fair Use Policy keeps the platform fast, reliable, and secure for every customer by setting clear expectations about legitimate use.

1. What unlimited means at Untap

Every Untap subscription tier (Starter, Growth, Ultimate, and Enterprise) includes unlimited usage of the following:

  • Spaces, platforms, and programs
  • Submissions and participants
  • Judges, admins, and collaborators
  • File uploads and storage (subject to the per-file limit noted below)
  • All features and integrations included in your tier

There are no overage fees, seat charges, or surprise invoices. Tiers differ in the level of support and onboarding you receive, not in the capacity of the platform.

2. Scope of this policy

This Fair Use Policy applies to all Untap customers and is incorporated into our Terms of Service. It describes acceptable use, prohibited use, how we monitor the platform, and what happens if we identify a concern.

3. Acceptable use

Unlimited means unlimited for legitimate program management. High-volume usage in the normal course of running innovation programs, competitions, grants, scholarships, hackathons, or talent initiatives is welcome and expected.

Examples of acceptable use

  • Running ten or more active programs in parallel
  • Receiving thousands of submissions in a single program
  • Inviting dozens of team members, judges, or reviewers
  • Uploading hundreds of attachments across programs
  • Scaling the platform across multiple departments, regions, or business units
  • Creating branded program websites for each initiative
  • Archiving historical program data across multiple years

4. Prohibited use

Fair use does not include activities that abuse the platform, harm other customers, violate applicable law, or exceed what a reasonable commercial customer would consume.

Platform resale and sublicensing

  • Reselling access to Untap as your own product or service
  • White-labeling the platform for external customers without an Enterprise agreement
  • Operating Untap as a service bureau for unrelated third parties

Malicious or abusive activity

  • Automated bot submissions or scripted account creation
  • Spamming other users, participants, or external contacts through the platform
  • Attempts to degrade performance, probe security, or reverse-engineer the Services
  • Uploading, distributing, or hosting illegal or infringing content
  • Using the platform for fraud, misrepresentation, or deception

Extreme resource consumption

  • Uploading single files larger than 2 GB
  • Using Untap primarily as file storage or a content delivery network, rather than for program management
  • Running API calls or automated scripts at volumes beyond normal program operations without an Enterprise API agreement
  • Creating excessive numbers of accounts or programs with no corresponding program activity

Content violations

  • Content that is illegal, infringing, obscene, defamatory, or harmful
  • Malware, viruses, worms, or other harmful code
  • Content that violates our Terms of Service

5. How we monitor fair use

We monitor platform usage using a combination of automated systems and proactive customer success outreach, including:

  • System performance monitoring and anomaly detection
  • Security monitoring and threat detection (consistent with our ISO/IEC 27001:2022 certification)
  • Proactive support engagement when usage patterns change significantly

We do not surveil the content of submissions or participant data, and we do not use Customer Data to train general-purpose AI models. See our Privacy Policy for details.

6. What happens if we identify a concern

If we identify usage that falls outside this Fair Use Policy, our default response is conversation, not penalty.

  1. Conversation. We reach out to understand your use case and program context. In most cases, what looks unusual from the outside has a straightforward business reason.
  2. Optimization support. We suggest configuration improvements, tier recommendations, or Enterprise terms that fit your scale. This typically resolves the concern without any change in pricing.
  3. Resolution. In rare cases of severe, unresolved abuse (for example, malicious activity or repeated breach of the Terms of Service), we may require a tier upgrade, suspend specific features, or terminate the account under our Terms of Service.

Our goal is to resolve concerns through dialogue wherever possible.

7. Enterprise use cases

If your organization operates at a scale or complexity beyond what the standard tiers accommodate, Enterprise plans provide custom agreements, dedicated infrastructure, advanced API access, on-premises or in-region hosting, and custom compliance commitments. 8. Changes to this policy

We may update this Fair Use Policy from time to time. For material changes, we will provide at least thirty (30) days' notice via email and in-product notification before the change takes effect. Continued use of the Services after the effective date constitutes acceptance of the updated policy.
